Start with the Operating Conditions: The Essential Difference Between Online and Standby UPS

Last winter I inspected a client’s server room and found that their core database server was backed by a standby UPS. The owner said confidently, “As long as there’s a UPS, we’re fine.” I asked whether he knew how long a standby unit takes to switch over. He replied, “A few milliseconds — doesn’t matter.” The reality is that a few milliseconds can be enough to trigger an unintended power-protection event on an x86 server running an ERP database. If you are lucky, the system reboots on its own; if not, you are looking at a corrupted file system and a database rollback. An online UPS works on the principle of double conversion: incoming mains power is first rectified to DC to charge the battery, and that DC is then inverted back into clean AC for the load. When mains power fails, the inverter takes over seamlessly, with a transfer time of theoretically zero. The maintenance bypass exists only as a fallback during servicing; under normal conditions the inverter never stops running. For business systems that cannot tolerate an outage, this is a hard requirement. A standby UPS behaves quite differently: when mains power is normal, the inverter is essentially idle and only monitors the supply, and it starts the inverter and switches the relay only when mains power fails. The transfer time is 4 to 10 milliseconds, which is enough to cause a reboot or data loss with sensitive loads such as industrial PCs, medical equipment, and high-frequency trading servers. The advantages of standby units are higher efficiency, lower noise, and lower cost, which makes them suitable for protecting non-critical equipment such as ordinary office computers, monitors, and printers. Here is a simple rule of thumb: if your server runs workloads that cannot afford data loss, choose online; if it is just an ordinary office PC, a standby unit is enough.

VA Is Not W: The Most Common Pitfall in Capacity Calculations

UPS specifications are rated in VA (volt-amperes), while equipment nameplates state W (watts). The difference between the two is this: VA is apparent power, W is active power, and the gap between them is the power factor. Typical IT equipment has a power factor of roughly 0.7 to 0.95. Network devices such as switches and routers tend to be on the low side, close to 0.7 to 0.8, while servers generally sit above 0.85. The standard load assessment process is: list every critical device that needs protection (servers, storage, network equipment, access control and surveillance, environmental control units, and so on) and check the nameplates for each device’s maximum power draw. Note the distinction between rated power consumption and actual power consumption — many server power supplies are rated at 500 W but draw only a little over 200 W in practice. When sizing, however, you cannot calculate from actual consumption; you must leave enough margin based on maximum consumption, otherwise the UPS will overload when the load spikes. There is one more factor that is easy to overlook: the crest factor. The inrush current when a server starts can reach 2 to 3 times the running current and lasts several hundred milliseconds. If the UPS crest factor is insufficient, the inverter may trip into protection at the moment of startup. Industry practice is to size the UPS at 1.2 to 1.3 times the calculated value, which both absorbs the startup surge and keeps the UPS running in a comfortable efficiency range.

Runtime Is Not Guesswork: Converting Battery Capacity into Discharge Time

Runtime is determined jointly by battery bank capacity, load power, and UPS conversion efficiency. A common estimation formula is: runtime (hours) = total battery bank Ah × battery voltage × conversion efficiency ÷ load power. The accuracy of this formula is affected by battery aging, ambient temperature, and discharge rate, but it is good enough for sizing estimates. I have seen many server rooms test runtime at acceptance and find the actual figure 40% shorter than the rated one. The cause is often that the batteries were already damaged in transit or in storage, or that the battery bank supplied with the UPS was undersized to begin with. A 5 kVA UPS rated for “30 minutes of runtime,” for instance, may actually ship with only sixteen 12V 9Ah batteries — a configuration that cannot last 30 minutes at full load and will raise a low-voltage alarm halfway through. Battery maintenance is the most easily neglected part of a UPS system. The most extreme case I have seen was a company whose UPS battery bank had been in service for five years without a single discharge test, until an unplanned outage revealed that the batteries had long since failed. Battery maintenance comes down to three core actions: periodic deep discharge activation, monitoring of internal resistance and terminal voltage, and ambient temperature control. Run a 30% to 50% discharge test every six months and check whether the discharge time matches expectations — a noticeably shorter time means the batteries have already lost capacity. Ambient temperature has an enormous effect on battery life: for every 10°C increase, life is halved, so the server room air conditioning must run steadily within the 20 to 25°C range. Transfer testing matters just as much. In theory the UPS switches to battery power automatically, but in practice ATS transfer delays, UPS faults, and unexpected equipment power loss are not rare. Transfer tests should be carried out with the equipment unloaded or lightly loaded, adding load gradually while observing how the UPS performs. During testing, record whether the output voltage waveform is distorted before and after the transfer, whether the inverter makes abnormal noise on startup, and whether the UPS switches back automatically and charges normally once mains power returns. Typical configurations for small and mid-sized server rooms can be chosen according to scale and business criticality. A single online unit of 3 to 10 kVA plus a lead-acid battery bank suits scenarios with 10 to 20 servers and 30 minutes to 2 hours of backup, at the lowest investment. A redundant hot-standby (N+1) configuration with units of 20 to 40 kVA, where one unit takes over automatically if the other fails, provides 30 minutes or more of backup and suits enterprises with core business that cannot be interrupted. Large server rooms use modular UPS systems with intelligent power distribution cabinets and precision cooling, with more than an hour of backup, usually working in tandem with diesel generators. One practical suggestion: when sizing, look first at the UPS efficiency curve. Most UPS units are most efficient in the 40% to 80% load range, and efficiency drops noticeably below 20% load. If your actual load is only 20% of the UPS rated capacity, either choose a smaller model or treat the surplus capacity as spare redundancy.
