Let’s get the question straight first: for a 30-person company, what exactly should a “team drive” solve?

Recently we’ve spoken with several clients in the 20–50 employee range, and enterprise cloud storage is a topic that keeps coming up. The question isn’t whether to use one — it’s that when choosing, you’re forever torn between three things:
data security (fear of a vendor disappearing, fear of leaks), collaboration efficiency (no more sending files over WeChat), and how much it actually costs per year.

We put the three mainstream options we’ve actually worked with this year on the same table and ran the numbers: Alibaba Cloud Drive Enterprise Edition, Feishu Docs, and a self-hosted NAS. For a 30-person company, whether it’s RMB 3,000 or RMB 30,000 a year, the gap is bigger than you’d think.

Option 1: Alibaba Cloud Drive Enterprise Edition — the one the boss is most likely to approve

Alibaba Cloud Drive Enterprise Edition leads with “personal cloud drive experience + enterprise controls”. The client is the familiar Alibaba Cloud Drive everyone already knows, so there’s no learning curve for employees. The admin console adds departments, shared spaces, tiered permissions, and operation auditing.

Actual configuration (30 users, quoted May 2026):

When it fits: lightweight data centered on documents, design drafts, and contract PDFs; no dedicated IT operations staff; employees more comfortable with traditional office tools; a boss who wants a worry-free setup — “turn it on and use it, and if something breaks, Alibaba handles it.”

When it doesn’t: engineering drawings, video assets, and dev code repositories with individual files regularly in the GB range — syncing is too slow, and paying by capacity isn’t cost-effective.

Option 2: Feishu Docs — the most comfortable for collaboration

Strictly speaking, Feishu Docs isn’t just a drive; it’s a collaboration platform that fuses together documents + spreadsheets + Base (multi-dimensional tables) + knowledge base + cloud drive. If your company already uses Feishu for IM, Docs is just a feature you switch on; if not, you need to weigh whether it’s worth migrating your entire IM stack for the sake of a drive.

Actual cost of Feishu for 30 users (at 2026 pricing):

The smartest approach we’ve seen: Standard (free) plus individually purchased capacity packs for the boss and the finance lead. The 30GB shared space archives official documents, while the boss’s and finance’s large files get their own extra capacity. Actual cost: under RMB 2,000 a year.

When it doesn’t fit: R&D code, design source files, and video assets shouldn’t be crammed into a collaboration platform. And there’s another case: if the boss insists that data must stay in their own hands, then no SaaS will do — only Option 3.

Option 3: Self-hosted NAS — your data in your own hands, but you have to account for operations

Self-hosted NAS isn’t new, but the calculus in 2026 differs from a few years ago: hardware keeps getting cheaper, and software (Synology, QNAP, TerraMaster, or even open-source TrueNAS) keeps maturing. For a 30-person company, a 4-bay NAS is a one-time hardware investment of RMB 6,000–10,000.

But the real cost of a NAS was never the hardware:

When it fits: R&D-driven, design-driven, video and engineering companies moving tens of GB of files a day; a boss with strong feelings about data ownership; a company with one hands-on IT colleague, or a willingness to outsource to a reliable provider.

When it doesn’t: pure office-based companies, no IT team, no tolerance for a single day of downtime — SaaS availability will always beat self-hosted.

The annual bottom line for all three options (30-person company, 2026 actual prices)

Showing the boss the numbers is the most direct route:

Three specific recommendations (by company type)

1. Pure office / sales / consulting firms (under 30 people): go straight to Feishu Standard (free) or Alibaba Cloud Drive Enterprise Basic. Don’t bother with a NAS. Keeping the annual budget under RMB 10,000 is more than enough.

2. R&D / design / video / engineering firms: self-hosted NAS + off-site backup is the most cost-effective, but it must come with operations support — whether that’s a part-time internal IT person or an outsourced provider. The annual total lands around RMB 15,000, half the cost of SaaS at the same storage scale.

3. Companies with compliance, audit, or sensitive client data requirements: Alibaba Cloud Drive Enterprise Professional plus an internal NAS for dual archival backup. SaaS audit logs + a self-hosted physical copy is the most solid combination for passing MLPS (China’s Multi-Level Protection Scheme) compliance and client due diligence.

One easily overlooked detail: migration cost

Finally, a pain point clients keep bringing up in retrospectives — migrating from one option to another costs far more than you’d expect.

Last year we helped an engineering design client migrate from a cloud drive to a self-hosted NAS — a full 6TB of data. Downloading, uploading, rebuilding permissions, updating shared links, reconfiguring clients: it took three weeks and roughly RMB 80,000 in service fees. So when choosing, think one step further: will this option last three years or five matters far more than saving that extra RMB 2,000 in annual fees today.
